Part Time Event Coordinator

Job Title: Assistant Event Coordinator

Position Type: Part-time
Immediate Supervisor: Event Manager

Job Summary: To provide excellent customer service to clients on their event days & leading up to them. Will assist Event Manager & Event Coordinator in the execution of a successful events. To include day-of assistance, and administrative weekly tasks and paperwork/financials.

Role & Responsibilities (include, but not limited to):

  • Give tours of the venue to prospective clients and explain Event Package details
  • Send follow up items to all clients
  • Routine administrative tasks: handling incoming phone calls, office organization, correspondence with clients & prospects, running errands, keeping all items in stock, etc
  • Keep files updated & organized (including quotes, communications, financial records, etc.)
  • Scheduling and organizing Event Manager’s calendar
  • Review event schedule with Event Manager to coordinate staff
  • Set up of events including setting up tables, chairs, linens, centerpieces, and décor
  • Assist Events Team where needed

Qualifications & Education Requirements: The ideal candidate will have a high school diploma and working towards a college degree. Previous (1-year) event coordination experience preferred, but not required. Customer Service is experience is required.

Physical Requirements: Must be able to stand for long periods of time (10-16 hours) and be able to lift heavy items (up to 25 lbs.) such as furniture and décor. Required to work some weekends (mostly Saturdays), and some evenings.

Skill-set: The perfect Event Coordinator will be extremely detail oriented, professional, and provide excellent customer service with a smile. The ability to take direction well and think quickly on their feet is an absolute must. Positive attitude required at all time, especially under stressful situations. The assistant must be able to be proactive and work unsupervised. A flexible schedule during peak seasons is necessary. Must have a creative eye and a “GET.IT.DONE.” attitude.

Attire: Professional, conservative, but trendy and cute. No bra straps or cleavage showing. No strapless or short dresses. Closed toe shoes and all-black attire required on event days.

Banquet Servers for Events

Performing food and drink serving duties at special events (i.e. weddings, quinceaneras, dinners, brunches, etc.). Job includes interacting with guests in a positive, friendly and efficient manner.

Essential duties and responsibilities

  • Set up for events by arranging table placement, place settings, polishing silverware & glassware
  • Attend BEO meetings before start of event to learn event details, including venue & guest expectations
  • Carrying plates of food on trays and serving guests
  • Serve beverages & food in the appropriate order to ensure consistency throughout the event
  • Keep glasses filled; remove each round of plates and replenish utensils as needed
  • Perform cleaning tasks and breakdown of service
  • Maintain high standards of safety and cleanliness
  • Adhere to grooming and appearance standards
  • Maintain & exceed company’s level of customer service & positive attitude
  • Greet & welcome guests; respond to their requests in a courteous and friendly manner
  • After the event, reset event space in accordance with the venue’s specifications to ensure the readiness of the room for other functions
  • Follow attendance rules & always go to work on a regular basis
  • Perform other related functions that may be assigned

Qualification requirements

  • High School diploma or equivalent preferred
  • Previous waitress, waiter or banquet server experience required
  • Bilingual (English & Spanish) preferred
  • Food Handlers License & TABC required
  • Excellent oral communication and listening skills
  • Ability to follow directions
  • Excellent customer service skills
  • A banquet server MUST provide their own uniform which consists of a black button down shirt, black pants & belt, black socks and black non-slip shoes.
    • No visible tattoos or jewelry

Physical demands and abilities

  • Ability to speak and hear
  • Close and distance vision
  • Frequently walking with some standing at times, possibly extended distances; ability to bend and climb stairs when necessary
  • Frequently lift/carry up to 25 lbs. & occasionally lift/carry up to 50 lbs.
  • Team work required: must be able to work with other members of the team and help with job duties as needed
  • Must have basic knowledge of service standards, guest relations, food & beverage preparations as well as etiquette
